HeadteacherChat® Terms and Conditions

1. About us

HeadteacherChat® is run by Headteacherchat Ltd, a company registered in England and Wales (company number 14015248). HeadteacherChat® is a registered trademark (UK00003655110).

These Terms apply to:

  • our website, www.headteacherchat.com
  • our shop, the School Leaders Shop, www.schoolleaders.shop
  • our community, community.headteacherchat.com, and the HeadteacherChat Community apps
  • our Recommended Partners directory and partner services
  • any AI tools we offer
  • our related services, events and webinars

In these Terms, "we", "us" and "our" mean Headteacherchat Ltd.

2. Accepting these Terms

By using our websites or apps, or by buying a product or service from us, you agree to these Terms and the documents they refer to, including our Privacy Policy, Cookie Policy and Refund and Returns Policy. If you do not agree, please do not use our services.

3. Our services

  1. School Leaders Shop: an online shop selling planners, notebooks and stationery for school leaders, books and gifts for educators, and downloadable resources and templates for professional use in schools.

  2. HeadteacherChat® Community: a private online professional community where school and trust leaders can:

  • connect and share ideas with peers
  • take part in webinars, live discussions and online events
  • post, comment and take part in professional discussion
  • access and download leadership resources
  1. Recommended Partners: a directory and marketing service that helps schools find suppliers of educational products and services. Partners can also buy marketing opportunities such as newsletter features, social posts, events, sponsorship and webinars.

  2. AI tools: digital assistants we may offer to help school leaders and education companies find information and resources. They provide general information only and do not give professional, financial, legal or HR advice.

When you buy directly from us, your contract is with Headteacherchat Ltd. When you buy from a third-party supplier, including a Recommended Partner, your contract is with that supplier.

4. Who can use our services, and your account

Our services are for adults working in or with schools. You must be 18 or over to create an account or buy from us.

You are responsible for keeping your account details accurate and your password private. Community accounts are for the named person only and must not be shared.

5. Prices and payment

  • All prices are in pounds sterling (GBP).
  • Shop prices include VAT unless stated otherwise.
  • Membership prices are shown plus VAT. The total you will pay is shown at checkout.
  • Shop payments are processed by Shopify. Community membership payments are processed through Circle and Stripe. We never see or store your full card number.
  • For card purchases, payment is taken when you place your order.
  • If we make an obvious pricing error, we may correct it before we accept your order. If we have already accepted it, we will contact you before going ahead.

6. Delivery of goods and digital content

Printed goods

We aim to dispatch within the timescales shown on our shop. The goods become yours, and you become responsible for them, once they are delivered and we have received full payment.

Digital downloads

Downloads are usually available straight after purchase. Before you download, we ask you to agree that the download can start immediately and to confirm that you understand you will then lose your 14-day right to cancel.

If digital content is faulty, we will repair or replace it, or refund you, as the Consumer Rights Act 2015 requires.

7. Cancellations and returns (consumers)

If you are buying as a consumer:

  • You have 14 days from receiving physical goods to cancel without giving a reason.
  • To cancel, email info@headteacherchat.com.
  • Please return the goods within 14 days of telling us you want to cancel.
  • We will refund you within 14 days of receiving the goods back, or of you showing us proof that you have sent them, whichever is sooner.
  • You pay the return postage unless the goods are faulty or incorrect.
  • You cannot cancel digital downloads once downloading has started (see section 6), or goods made to your own specification.
  • We also offer a voluntary 30-day satisfaction return on planners, as set out in our Refund and Returns Policy.

Your statutory rights are not affected.

8. Community membership and other subscriptions

Community membership, Recommended Partner listings and some other services renew automatically.

Before you sign up, we show you the price, renewal terms and how to cancel. We will email you before your membership renews.

  • Community membership: you can cancel within 14 days of signing up for a full refund. After that, you can cancel at any time to stop future renewals. Your access continues until the end of the period you have paid for. We do not refund the remaining time.
  • Renewals: if a renewal commits you for 12 months or more, you can cancel within 14 days of the renewal date for a full refund of that renewal.
  • School and trust memberships: these cover a set number of named places. The school or trust is the customer and agrees the membership terms with us.
  • Earlier prices: if you joined at an earlier price and your membership lapses, you keep that price if you rejoin within 90 days. After 90 days, you rejoin at the current price.

To cancel, email info@headteacherchat.com or use your account settings in the community.

For community memberships, Recommended Partner arrangements and other subscriptions:

  • Fees are paid in advance, monthly or annually as agreed.
  • Services start once payment has been received.
  • If a payment fails and is not put right, we may pause your access or remove a listing.
  • Benefits and listings end when a membership is cancelled or expires.
  • When a membership renews, the Terms in force at that time apply.

Our responsibility for memberships and partner services

We will provide membership and partner services with reasonable care and skill. We do not guarantee particular commercial results, numbers of leads or levels of engagement.

Except where the law does not allow it (for example, in cases of negligence causing death or personal injury, or fraud), our total liability to you under any membership, subscription or Recommended Partner arrangement is limited to the fees you have paid for the current membership year.

9. Recommended Partners (third-party suppliers)

Our Recommended Partners directory lists independent suppliers and service providers for schools. Some partners pay a fee to be featured or to take part in our events and communications. We label paid content clearly.

We are not responsible for third-party products or services. Featuring a partner is not a guarantee of their products, services, safeguarding arrangements or data protection practices. Each school or trust must carry out its own due diligence before it enters into an agreement or makes a purchase, including checking the supplier's terms, safeguarding documents and privacy notice.

Physical activity and equipment

Some partners offer services involving physical activity, sport, equipment or facilities. We do not test, inspect or take responsibility for them. Each school, trust or participant is responsible for:

  • carrying out appropriate risk assessments
  • making sure suitable insurance is in place
  • confirming that safeguarding, health and safety checks and staff qualification checks have been carried out
  • checking that activities follow DfE guidance, Health and Safety Executive standards and local authority policies

We are not liable for injury, loss or damage arising from a third party's activity or equipment, except where the law does not allow us to exclude liability.

10. Intellectual property

All content on our websites, apps and resources, including text, graphics, logos and trademarks, belongs to us or is licensed to us.

You may download and print our resources for use within your own school or trust. You may not copy, resell, share outside your organisation or distribute them commercially without our written permission.

11. The community and your content

Please use the community responsibly and respectfully, and follow your employer's policies and procedures when you take part.

You must not post or share anything that is unlawful, discriminatory, defamatory or harmful, or anything that could identify a pupil, a member of staff or a family.

We moderate content in line with the Online Safety Act 2023 and our safeguarding responsibilities. Please report harmful or illegal content to info@headteacherchat.com.

We may remove content, or suspend or restrict accounts, to protect the community.

Community discussions are private. Our Privacy Policy explains how we protect them.

12. Personal information and cookies

We handle your personal information as set out in our Privacy Policy and Cookie Policy (updated October 2026). We comply with the UK GDPR, the Data Protection Act 2018, the Data (Use and Access) Act 2025 and the Privacy and Electronic Communications Regulations.

13. Changes to our services

We may change our websites, community, apps, shop or AI tools to improve them or to keep them secure and lawful. If a change significantly affects you, we will give you reasonable notice. If you do not accept it, you may end your membership and we will refund any fees you have paid for the period after the change takes effect.

14. Our liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded by law, including your rights under the Consumer Rights Act 2015.

Subject to that:

  • If you are a consumer, we are not responsible for losses that were not foreseeable, or for business losses.
  • If you are buying for a school, trust or business, we are not liable for loss of profit, loss of business or indirect or consequential loss.
  • Our total liability for each order is limited to the amount paid for that order.
  • We are not responsible for delays or interruptions caused by third-party platforms or by events outside our reasonable control.

15. Schools, trusts and business customers

If you buy on behalf of a school, trust or business:

  • the consumer rights in section 7 do not apply, but our Refund and Returns Policy still sets out how we handle returns
  • invoices are payable within the terms shown on the invoice, and we dispatch goods once payment has been received
  • a separate written agreement takes priority over these Terms if the two conflict

16. Complaints and disputes

If you have a complaint, please email info@headteacherchat.com. We will acknowledge it within 7 days and aim to resolve it within 21 days.

If we cannot resolve your complaint, you can contact an approved Alternative Dispute Resolution (ADR) provider. The Chartered Trading Standards Institute keeps a list of approved providers.

17. Ending your account

We may suspend or close your account if you seriously break these Terms or act unlawfully.

You can close your account at any time by emailing info@headteacherchat.com.

Rights and obligations that arose before the account was closed continue to apply.

18. If part of these Terms is invalid

If a court decides that any part of these Terms is invalid or unenforceable, the rest of the Terms continue to apply.

19. Law and courts

These Terms are governed by the law of England and Wales.

You can bring proceedings in the courts of England and Wales. If you are a consumer living in Scotland or Northern Ireland, you can also bring proceedings in your local courts, and you keep any mandatory protections of the law where you live.

20. Public sector information (DfE and Ofsted content)

Some of our resources include or refer to material published by the Department for Education, Ofsted and other UK public bodies. We use it under the Open Government Licence v3.0, published by The National Archives. That material remains Crown copyright, or the copyright of the relevant public body.

We are not endorsed by, associated with or approved by the DfE, Ofsted or any government department. Our summaries and adaptations of government material are for information only and are not official guidance or advice. Always check the current official publication.

Your consumer rights

You have statutory rights under the Consumer Rights Act 2015 and other UK consumer law. Nothing in these Terms affects those rights.
